Photographs or other media containing identifiable individuals may be processed and published separately in accordance with applicable data protection and personality-rights requirements.

5. Legal basis for processing

Depending on the circumstances and applicable law, the IVCA may process personal data on the following legal bases:

  • processing necessary for the performance of an agreement or for taking steps at the request of a person;

  • processing necessary for compliance with a legal obligation;

  • processing based on the legitimate interests of the IVCA or relevant third parties, where those interests are not overridden by the rights and interests of the affected person;

  • consent, where consent is required or is the appropriate legal basis.

For the administration and publication of sporting results and the Vaurien World Ranking, the IVCA may rely, where legally applicable, on its legitimate interest in organising, documenting and promoting Vaurien sailing and maintaining an accurate international sporting record.

The IVCA considers the nature and purpose of the processing, the expectations of participants, the public nature of competitive sporting results and the relatively limited nature of the data processed when assessing these interests.

Where consent is used as the legal basis, it may generally be withdrawn at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.

6. Publication of sporting results and World Ranking

Participation in Vaurien competitions normally involves the publication of sporting results.

The IVCA may publish competition and ranking information on its website and through other official IVCA communication channels.

Published information may remain accessible as part of the historical sporting record of the Vaurien class.

The IVCA seeks to limit published information to what is appropriate and necessary for documenting and communicating sporting performance.

We do not publish private contact information such as private addresses, telephone numbers or email addresses as part of the World Ranking.

Where applicable law provides a right to object to the publication of sporting results, the IVCA will provide an appropriate mechanism for exercising that right.

7. Data concerning minors

Vaurien competitions may include young sailors and minors.

The IVCA takes particular care when processing information relating to minors and seeks to limit the publication of personal information to what is necessary for competition management, sporting results and legitimate communication of Vaurien activities.

We generally do not publish unnecessary information such as full dates of birth, private addresses or contact details of minors.

Where applicable, parents or legal representatives may exercise the rights provided by applicable data protection law on behalf of a minor.

8. Photographs and video

Photographs and video recordings may be taken during IVCA events, championships, meetings and other activities.

The publication of identifiable photographs or videos is handled in accordance with applicable data protection, personality-rights and image-rights legislation.

Where consent is required, the IVCA will obtain appropriate consent.

Event participants who do not wish a particular photograph or video showing them to be used may contact the IVCA using the contact details provided in this Privacy Policy. We will assess such requests in accordance with applicable law and the circumstances of the publication.

9. Recipients of personal data

Personal data may be made available, where necessary and appropriate, to:

Where service providers process personal data on behalf of the IVCA, the IVCA takes appropriate measures to ensure that such processing is carried out in accordance with applicable data protection requirements.

Public sporting results and World Ranking information may be accessible worldwide through the IVCA website.

10. International data transfers

The IVCA is an international sailing organisation and may work with organisations, service providers and participants located in different countries.

Where personal data are transferred to a country outside the applicable data-protection area, the IVCA will take appropriate measures required by applicable law.

This may include the use of an adequacy decision, recognised contractual safeguards or another legally permitted transfer mechanism.

11. Data retention

The IVCA retains personal data only for as long as necessary for the relevant purpose or where retention is required or permitted by law.

Different retention periods may apply to different categories of information.

Operational information, such as contact and administrative data, will generally be retained only for as long as necessary.

Competition results and ranking information may be retained for a substantially longer period because they form part of the historical sporting record of the Vaurien class.

Where personal data are no longer required, the IVCA will delete or anonymise them where appropriate, taking into account legal obligations and the legitimate need to maintain historical sporting records.

12. Data security

The IVCA takes appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration, disclosure or destruction.

Measures may include:

  • access controls;

  • restricted administrative access;

  • secure hosting;

  • secure connections;

  • appropriate backups;

  • protection against unauthorised access to databases and systems.

No internet-based system can guarantee absolute security.

13. Your rights

Subject to applicable legal conditions and limitations, you may have the right to:

  • request access to personal data concerning you;

  • request correction of inaccurate or incomplete information;

  • request deletion of personal data;

  • request restriction of processing;

To protect personal data, the IVCA may need to verify the identity of the person making a request.

Where a request concerns published sporting results, the IVCA will consider the request in accordance with the applicable legal framework and the IVCA’s legitimate interest in maintaining an accurate historical sporting record.

14. Accuracy of sporting results

The IVCA aims to maintain accurate competition and ranking information.

If you believe that a published competition result, sailor identity, crew composition or ranking entry is incorrect, please contact us at:

[ranking@vaurien.org]

Please provide sufficient information to allow us to identify and verify the relevant result.

Where appropriate, the IVCA may consult the original event organiser or official results before making a correction.

15. Cookies and website technologies

The IVCA website may use cookies or similar technologies that are necessary for the operation, security and functionality of the website.

Where non-essential cookies, analytics services or other tracking technologies are used, these will be handled in accordance with applicable data protection and cookie requirements.

We recommend consulting the privacy policy of the relevant third-party website before providing personal data.

17. Changes to this Privacy Policy
